The Electronic University System, developed to modernize higher education management, automate educational processes, and improve access to academic information at Oguz Han Engineering and Technology University of Turkmenistan, has been launched in stages and currently integrates a significant part of the university’s academic and administrative activities within a unified digital environment.

Work on the project began in early 2025, and the system was gradually introduced into use starting in September of the same year. Currently, the system brings together 4,700 undergraduate and 200 graduate students, more than 250 teachers, academic staff, and approximately 30 administrative users within a unified digital environment.

Within the Electronic University System, separate digital personal accounts have been created for major user groups, including students, teachers, heads of departments, and administrators responsible for academic affairs. Each user can access the necessary academic and administrative information through a single integrated system according to their authorized access rights.

Teachers and department heads can manage students’ attendance and academic performance in real time through electronic journals. Students, in turn, can access class schedules, curricula, course materials, research articles, books, manuals, presentations, and video materials through the system.

The system also provides opportunities to record the results of monthly tests, midterm, final, and resit examinations electronically, prepare relevant documents in PDF format, and automatically generate students’ transcripts.

One of the particularly important features of the Electronic University System is the integration of artificial intelligence technologies with academic analytics. Academic data collected through the system can be analyzed to provide information about students’ academic performance, course achievement, and the effectiveness of the educational process. AI-based analytics help identify subjects that may be difficult for students to master and students who may require additional academic support. This creates new opportunities for managing the educational process based on data.

The system enables electronic management of student attendance, online testing, access to the electronic library, and quick access to essential learning materials. The Electronic University System is also accessible through Android and iOS mobile applications.

A module based on Face ID technology has also been integrated into the Electronic University platform to automatically record the attendance and working hours of university employees.

An important feature of the project is that it was 100 percent developed by the university’s own specialists and students. This demonstrates the emergence of a new technological ecosystem within the university, involving specialists and students who are capable of developing digital solutions internally and integrating modern technologies into academic and administrative processes.

With the creation of the Electronic University System, many academic and administrative processes have been brought together within a unified digital environment, creating new opportunities for access to academic information, data management, analysis of learning outcomes, and informed decision-making.

The Electronic University System is an innovative project developed by the specialists and students of Oguz Han Engineering and Technology University of Turkmenistan. Enhanced with artificial intelligence technologies, it serves as a technological foundation for the development of a modern digital university.
